Trial management

Trial Management lets platform operators grant one-time trial extensions to Practice workspaces. It’s used to give a prospective customer a few extra days when they ask for more time to evaluate before converting.

The default trial is 21 days from sign-up. Most workspaces convert or churn within that window. Use Trial Management to extend the trial when:

  • A prospect asks for more time because of a procurement or compliance review.
  • A workspace hit a technical snag (e.g. integration outage) and lost evaluation days.
  • Sales has committed to a custom timeline with a specific lead.

The page lists every Practice workspace currently in a trial state, sorted by days remaining (most urgent first). For each workspace you’ll see:

  • Workspace name — The practice’s display name.
  • Owner — The email of the admin who signed up.
  • Plan — The plan the trial is on (Starter, Growth, or Scale).
  • Trial ends — The current trial end date.
  • Days remaining — A color-coded badge: green for 7+ days, amber for 1–6 days, red for the final day.
  • Extensions granted — How many extensions this workspace has already received.
  • Extend trial — An action button.

Use the search box at the top to find a specific workspace by name or owner email.

  1. Find the workspace in the list (or via search).
  2. Click Extend trial.
  3. A dialog asks for two things:
    • Days to add — A number between 1 and 30. The default is 7.
    • Reason — A free-text note explaining why. This is required for audit purposes.
  4. Click Confirm extension.

The trial end date is updated immediately. The owner of the workspace receives an email confirming the new end date, and the trial banner inside their workspace updates the countdown.

  • Each workspace can receive a maximum of 3 extensions in its lifetime. Beyond that the Extend trial button is disabled — the owner needs to convert to a paid plan instead.
  • Every extension is logged with the SystemAdmin who granted it, the number of days added, and the reason. The audit log is viewable in Backoffice → Privacy & Compliance → Audit log.
  • Extensions never shorten a trial — only add days. If you need to end a trial early, the workspace can cancel from their own Billing page.

If a workspace converts to a paid plan before or after an extension, the extension data stays on the record for reporting purposes but no longer has any operational effect.
